When a charity transitions from a Society to a Company Limited by Guarantee (CLG), the steps required to update its giving.sg account depend on whether its Unique Entity Number (UEN) and bank account details have changed.
1. Change in UEN and bank account details
If the UEN has changed:
A new charity account must be registered on giving.sg using the new UEN.
If the bank account details have changed:
A new Direct Credit Authorisation (DCA) form must be completed and endorsed by the bank.
2. Register a new charity account using the new UEN
To register a new charity account:
- Visit www.giving.sg.
- Click Sign up.
- Select Registered Charity.
- Complete and submit the required registration details using the new UEN.
DCA form requirements
Ensure that the DCA form is completed according to the following requirements:
- Part I: Must be fully completed by the charity and bear the organisation’s official rubber stamp.
- Authorised signature: The signature must match the bank’s records.
- Bank account number: The account number must be consistent in Parts I and II.
- Part II: Must be completed by the bank and bear the bank’s official rubber stamp and the authorised bank officer’s signature.
- Mandatory fields: All fields must be completed, including the bank number, branch number, bank account number and full bank SWIFT code.
3. Deactivate the existing giving.sg account
If the existing charity account is no longer required, the charity must arrange for its deactivation.
The following information and confirmations are required before deactivation:
a. CEO or Executive Director’s approval
The charity must obtain approval from its CEO or Executive Director for the deactivation. The CEO or Executive Director must be included in the email correspondence to confirm their approval before the deactivation process proceeds.
b. Recurring donors
The charity should identify any donors currently subscribed to monthly recurring donations and notify them in advance of the transition. Donors should be advised to set up their recurring donations again under the new charity account, where applicable.
c. Bank account status
The charity must confirm whether the bank account currently linked to the existing giving.sg account will remain operational or be closed. This is necessary to facilitate the disbursement of any remaining donations.
d. Effective deactivation date
The charity must provide the intended deactivation date. The existing account must be deactivated no later than the official last working day of its operations.
4. Important considerations before deactivation
Before deactivating the existing account, the charity must ensure that the following actions have been completed:
- Processing hours: Deactivation can only be processed during office hours, Monday to Friday, excluding Public Holidays.
- Donation page: Once deactivated, the charity’s giving.sg page will no longer be accessible to the public for donations.
- Tote Board submissions: Save the necessary campaign screenshots and corresponding URLs before deactivation if they are required for Tote Board submissions.
- Donation and volunteer records: Download all necessary donation history and volunteer activity reports for record-keeping before deactivation.
